The Fleet Operations Specialist/Coordinator is a critical support role to the Fleet Manager for the success of the Fleet Management team and HSES, ensuring that value is delivered to the Direct Energy Field Operations.  This role works closely with internal stakeholders and external third parties; continuously striving to improve value and delivery through the documented framework of the Fleet Management System. 



  • Prior fleet experience is required
  • Excellent skills in Microsoft Office (Excel, PowerPoint, Word). Proficiency in Outlook and Excel is required.
  • Previous experience in working with web-based fleet management systems (preferred, but not required)
  • Must be flexible to handle multiple tasks in a busy environment
  • Highly detail oriented with demonstrated organizational skills
  • Requires good decision and problem-solving skills
  • Stakeholder management skills required (internal/external) and must exercise good judgment when dealing with challenging stakeholders
  • Must possess excellent interpersonal and communications skills with prior customer service experience
  • Ability to meet deadlines/deliver on promises


  • Work with key internal stakeholders and provide support in the fleet management activity across multiple operations
  • Execute new vehicle order requirements, including associated required upfit, graphics branding and telematics
  • Facilitate vehicle transfers, along with associated vehicle transport, state registration and plate changes, graphics rebranding, maintenance packets and fuel cards
  • Execute vehicle disposal requirements as requested
  • Provide support to divisions for fuel card assignments and driver PIN needs (for fleet fuel cards as well as non-fleet fuel cards)
  • Facilitate execution of processes related to potential fuel card fraud (i.e.  White card fraud/skimming)
  • Provide support to divisions for vehicle maintenance packets, PO requests and associated vendor issues
  • Facilitate vehicle branding needs (i.e. Vehicle repairs, rebranding, etc.)
  • Track compliance of vehicle registration renewal pre-requisites (i.e.  Safety and/or emissions inspections)
  • Track compliance of annual DOT inspections
  • Facilitate order and distribution of insurance cards
  • Assist with the management of the centralized toll management program
  • Assist the management of tracking vehicle recalls and repairs for the divisions, to ensure they maintain regulatory compliance
  • Assist with the management of the accident management program (tracking claims, vehicle repairs, branding, subrogation, etc.), in conjunction with the fleet management provider
  • Responsible for the monthly fleet data and compliance reports at a high level, including the development of a PowerPoint deck
  • Assist in running reports as well as the distribution of detailed monthly fleet data to all divisions that support the high-level presentation material (i.e.  Overdue PMs, fuel detail, maintenance expense)
  • Distribute monthly coming due preventive maintenance reports to help divisions plan for PMs that will be due in 30 days or less
  • Assist in creating fleet documentation and provide support related to the evolving Fleet Management System procedures
  • Assist with data entry of Driver’s Alert numbers that are associated with the vehicle, in the fleet management system
  • Provide support or manage special projects as needed
  • Provide support with acquisitions and divestures as it relates to the fleet
  • Identify trends/issues - able to troubleshoot solutions and modify the framework to accommodate these solutions
  • Ensure compliance to the documented Fleet Management System
