The Business Analyst, REFM NA is responsible for all Real Estate (RE) and Facilities Management (FM) analytical, administrative and functional data support. Additionally, the analyst will provide ongoing tactical support in tandem with departmental strategy and project management plans.   As a key member of the REFM NA team, the analyst works to support and supply market data, monitor costs related to leases and FM projects, and routinely interact with Landlords, Suppliers, and Procurement.

  • Strong written and verbal communicator; able to articulate complex concepts in an accurate and concise manner using the appropriate medium and audience.

Education

  • Bachelor’s degree required

Work Experience

  • 2-5 years of experience managing a multi-layer, geographically dispersed operations (experience specific to workplace management is strongly preferred);
  • 2+ years of experience managing projects and/or procurement is required; years of experience dependent upon relevance and value of experience;
  • Strong financial acumen

Certifications

  • IFMA or similar facilities-related certification is preferred
  • PMP or similar project-related certification is preferred

Physical Demand

  • Essential job functions primarily performed in a corporate office environment; Field verification, data collection, and team formation/building activities performed in environments that are dependent upon the scope of the real estate portfolio (currently corporate office, field office, warehouse/distribution, and light manufacturing) and the location of direct and indirect reports.

Travel Requirements

  • Operational responsibilities will typically require travel within US and Canada Ranging from 0-2 days per month.  Additional project-related travel within US and Canada may be required (frequency, distance, and duration of trips is dependent upon the location, risk, and complexity of those projects requiring in-person field verifications and/or stakeholder management).

Responsibilities

  • With key direction from Head of REFM, NA and Transaction Manager NA, develop and administer accurate data for monthly reporting, good receipts, and analysis for projects (i.e., ongoing rental costs, metrics, and vendor KPIs)
  • Conducts research and analysis alongside Transaction Manager and Head of REFM NA on special projects relating to the real estate portfolio
  • Performs Lease Administration duties along with vendor, processes rental payments and goods receipts (and automates where possible) to ensure commercial terms are being achieved
  • Help to develop service level KPIs to hold all vendors accountable, and in turn monitor and report on monthly
  • Conduct in partnership with Procurement and outside consulting firms, lease audits on annual statements and perform reconciliations when applicable
  • Act as primary contact for landlords on property administration and payment issues
  • In conjunction with Transaction Manager NA, conduct research required for making recommendations on disputes and resolutions
  • Maintain all lease data in databases and compile reports for business partner analytics
  • Select alongside Head of REFM, NA, Property Manager NA, and Transaction Manager NA, key vendors, suppliers, and locations needed to achieve departmental goals, as well as develop, deploy, and support the front-line managers
  • Act as support in strategic planning activities alongside Transaction Manager, NA and Head of REFM NA to make tactical decisions
  • Aide REFM, NA LT in annual budget creation process, and track progress against plan throughout on a monthly basis
