This position is responsible for planning and executing workspace operations activities for a particular business unit at their site. Proactively recommending, arranging and managing routine as-needed facilities maintenance and repair services, developing, and administering, reporting on and achieving associated OPEX budgets goals. Establishing and maintaining excellent rapport and good business relationships with property managers and in-house operations personnel in order to create a safe environment that allows our employees to perform the duties necessary for them to be successful.

    • EDUCATION & EXPERIENCE:
        • 4 yr. College Degree or equivalent work experience
        • 2-4 years previous experience, preferably in a corporate environment.

Responsibilities

Workspace Operations

  • Provide back up to the Receptionist.
  • Complete all internal facilities and building maintenance requests.
  • Supervise all work to be performed by contractors, service providers and trades
  • Arrange for preventive maintenance and repair as required (supplemental A/C units, fridges, microwaves, chilled water fountains etc.).
  • Have a clear understanding of the landlord’s maintenance obligations according to the lease and ensure landlord’s compliance.
  • Manage the coordination of building management to jointly achieve a clean, functional, and safe environment.
  • Ensure adequate level of routine cleaning and housekeeping in accordance with established building standards.
  • Supervise contracted Day Porter.
  • Arrange for cost-effective supplementary cleaning as required and manage the vendor relationship (carpet cleaning, paint touch-ups, routine facility repair).
  • Proactively manage and analyze facilities services maintenance contracts and service agreements and recommend actions to provide appropriate levels of service at competitive prices.
  • Negotiate service contracts with vendors (with support from Procurement) and ensure all levels of services required are met.
  • Arrange for and vendor manage Plant Maintenance contract.
  • Ensure timely processing and approval of supplier invoices.
  • Maintain Facilities work order log.
  • Oversee the management of facility boxes and ensure compliance with all internal SLA’s for the work orders. 
  • Coordinate shipping of outgoing packages and USPS mail.
  • Receive and deliver mail/packages in a timely manner.
  • Distribute paper supplies for printers.
  • Order office supplies as needed by department, this includes coffee service and supplies.
  • Support, implement and maintain HSES procedures.
  • Administer security access control procedures with input/direction from HSES.
  • Support on-boarding and off-boarding processes.
  • Create Welcome Kits for new hires.
  • Maintain log which includes new hires, transfers, and terminations.
  • Knowledge of and adherence to PCI DSS Compliance Standards where needed.
  • Partner with DE business teams to ensure our strategy is aligned with business growth and other objectives.
  • Requires knowledge of financial terms and principles. Ability to analyze business/financial data and develop innovative solutions.
  • Develop internal processes designed to enhance day-to-day operating efficiencies.
  • Ensure that the team follows established procedures for each service request, including logging, processing and progress chasing enquiries, adhering quality standards to maximize customer satisfaction.
  • Deliver monthly occupancy reports in accordance with established timelines.
  • Insure that all site-specific documentation and reports are complete and accurate.
  • Identify and recommend cost savings initiatives.
  • On call 24/7 for emergency response.
