Summary:

As a critical contributor to the success of the Branded Operations Team, including Franchise, Company Owned Operations (“Retail”)  and BuyMax Divisions, this position is responsible for providing day-day administrative support to the VP, Branded Operations.    This position requires the candidate to effectively communicate and interact with executive management as well as staff and franchisees across North America.  The position requires a high level of responsibility, organization and judgment, and exercising the utmost discretion due to the confidential nature of the role.  The incumbent must be dynamic, positive at times of adversity and ambiguity, and able to work effectively without extensive direction.

Requirements

  • 5 years minimum experience in administrative support with at 3 years at the Senior Executive level
  • Minimum of a high school diploma
  • 3+ years of experience coordinating international travel and events
  • Minimum of 5 years of computer experience in a professional environment with proficiency in  MS Office including Outlook, Word, Excel, Power Point is required; Visio is an asset
  • Must present a neat, professional appearance
  • Must be able to travel periodically as needed

  • Franchising and/or services background preferred but not required
  • Strong time management and organizational skills resulting in efficient completion of all assigned tasks
  • Solid communication including interpersonal skills in dealing with both internal and external clients in a highly professional manner
  • Ability to multitask in a fast paced environment and to work independently and proactively
  • Ability to work independently and with minimal supervision

Responsibilities

  • Reliably perform a wide range of administrative and general support duties of a responsible and confidential nature.
  • Manage calendars, arrange and plan meetings and/or conference calls, ensure that all required information is available
  • Coordinate and book travel arrangements and plan itineraries
  • Prepare and compose correspondence, both internal and external
  • Manage email activity including priority assessment
  • Process expense reports and benefit claims
  • Prepare and format materials for presentations and/or reports from general instructions or rough outline
  • Communicate with various internal departments to coordinate projects and/or activities and liaise with external parties in administrative matters
  • Manage and process invoices
  • Establish and maintain a file and records management system, including both hard and electronic files
  • Organize and attend meetings and conferences 
  • Project work as assigned
